Can Salto KS users delete their own data from sites they belong to?

Although Salto KS users cannot delete their own data from sites they belong to, they can send a request to the Site Owner to do so.

Where can Salto KS users send a request to delete their data from a site?

Salto KS users can send a request to delete their data from a site on the Salto KS web app, by following the steps below:

  1. Navigate to the left-hand sidebar and click on the Users tab, which will take them to the Users page showing the list of users in the site. By clicking on their own name from the list, they will be taken to their user details page, containing an overview of all their information.
  2. On the top right corner of the screen, depending on the user's permissions, they will either see a Remove my data button, or an Actions button. Clicking the Actions button will display a drop-down menu, with one of the options being Remove my data. For both scenarios, click on Remove my data.
  3. A modal window will pop up for them to confirm the request to delete their data. They will have to select a reason for the request from the drop-down list or click on Other to type in their answer.
  4. Click Yes, request to send the request to the Site Owner, who will receive a notification via email.
  5. A Data removal request pending status will be shown on their user information card.

What happens after a user sends a request to remove their data from a site?

After the user sends a request to remove their data from a Salto KS site, the Site Owner is notified via email. The Site Owner can review the request on the Salto KS web app, by going to the Users tab and clicking on that user's overview page.

  • If the Site Owner chooses to accept the request, the Site User will be deleted, along with all their data from the site. A notification will be sent to the user's email notifying them of the deletion of their data.

  • If the Site Owner chooses to decline the request, they must provide a reason for the rejection. A notification will be sent to the user's email notifying them of the rejection and the reason for that.

  • The Site Owner can also choose to extend the review period of the request to an additional 60 days, for a total of 90 days from the day the request was sent.

If the Site Owner doesn't respond to the request within 30 days after it was sent, the request will be automatically approved, and the user will be deleted along with all their data. If they chose to extend the review period to an additional 60 days, this will happen after 90 days from the day the request was sent. A notification will be sent to the user's email notifying them of the deletion of their data.

How long does a request to delete user data take to be processed?

When a Salto KS user sends a request to delete their data from a site, Site Owners have up to 30 days from the day the request was sent to review it. The Site Owner can choose to extend the review period to an additional 60 days, amounting to a total of 90 days from the day the request was sent. If this happens, the Site Owner must provide a reason for the extension, and an email will be sent to the user to notify that.

If the Site Owner doesn't respond to or extend the request within 30 days after it was sent, or doesn't respond after 90 days if extended, the request will be automatically approved, and the user will be deleted along with all their data.

What happens to the user's information if the request to remove their data is approved?

If a user's request to remove their data is approved by the Site Owner, then all their data is permanently removed from the site. Any event or audit trail log from that user will be anonymized for that site.

Can a Site Owner delete their own data from a site?

No, a Site Owner cannot delete their own data from a site. For that to happen, they must first transfer the ownership of the site to another user, who must accept the Terms of Service before the transfer of ownership is complete. The former Site Owner will become a Site Admin and, only then, will they be able to request the deletion of their data from the site.
