Booking management
Introduction
Welcome to the user manual for the Bookings Overview system. This guide will help you navigate through the various functionalities of the system, specifically focusing on creating, viewing, editing, and deleting bookings. The screenshot provided will serve as a visual reference to help you understand the interface better.
How to create a booking
To create a booking, follow these steps:
- Navigate to the bookings section:
- From the main menu on the left, click on "Bookings."
- Select "Create" under the Bookings section.
- Search for a room:
- Filter available rooms by name using the search function.
- Filter by timeframe to see available rooms for specific dates and times.
- Specify the capacity to find rooms that can accommodate the required number of people.
- Filter by assets if specific equipment or facilities are needed.
- View available rooms:
- The system will display the number of available rooms.
- A warning icon will show if access to a room is restricted.
- Rooms are color-coded based on availability:
- White: List of rooms without a timeframe filter.
- Green: Available rooms in the selected timeframe.
- Yellow: Partially available rooms in the selected timeframe.
- Red: Unavailable rooms in the selected timeframe.
Booking details
- Enter booking details:
- Specify the host and guest (employees or visitors).
- Choose the booking type based on settings (Free range, Duration, or Period).
- Enter the start and end date-time, or duration/period as required by the booking type.
- Submit the booking:
- Click on the "Confirm" button to complete the booking.
- Use the "Cancel" button if you need to discard the booking.
- Confirmation:
- After saving, you will see a confirmation message showing the successful creation of the booking.
How to use the overview
The Overview section allows you to view, filter, edit, and delete bookings. Here is how to navigate and use these functionalities effectively:
Viewing and filtering bookings
- Access the overview:
- Click on "Overview" under the Bookings section in the main menu.
- Filter bookings:
- Use the drop-down menus at the top to filter bookings by Environment, Timespan, and Restricted Access.
- Use pagination to navigate through multiple pages of bookings.
- Enter keywords in the search bar to find specific bookings.
- View booking details:
- The bookings table displays key details such as Room Name, Start Date, End Date, Restricted Access, and Environment.
- Sort bookings by clicking on the column headers.
Editing a booking
- Locate the booking:
- Find the booking you want to edit using the filters or search bar.
- Edit the booking:
- Click on the orange pencil icon in the Actions column next to the booking you wish to edit.
- Update the details:
- Modify the room name, start date, end date, and restricted access.
- Update host and guest information.
- Adjust the booking type and its respective details (start date-time, end date-time, duration, or period).
- Save changes:
- Click on the save button to update the booking details.
Deleting a booking
- Find the booking:
- Locate the booking you want to delete in the Overview section.
- Delete the booking:
- Click on the red trash can icon in the Actions column next to the booking.
- Confirm deletion:
- Confirm the deletion in the prompt to remove the booking from the system.
